Privacy Policy

Kardein (“Kardein,” “we,” “us,” or “our”) is an early-stage job application agent being built to help candidates discover roles, prepare application materials, submit with controls, and track replies. This Privacy Policy applies to our website, waitlist, authentication flows, and any product features available during early access.

By using Kardein, you agree to the collection and use of information as described here. If you do not agree, please do not use the service.

Depending on how you use Kardein, we may collect:

• Account information, such as your name, email address, and profile details provided through Google sign-in or your account settings.
• Job search profile data, such as target roles, skills, work history, education, location preferences, salary expectations, work authorization, and answers to common application questions.
• Application materials, including resumes, cover letters, drafts, attachments, and notes you upload or generate in the product.
• Application activity, such as saved jobs, match scores, submission status, timestamps, and confirmations or replies you choose to track.
• Communications, including support messages and feedback you send to us.
• Technical data, such as browser type, device information, IP address, pages viewed, and diagnostic logs used to secure and improve the service.

If you connect email or other integrations in the future, we will only collect data from those sources with your permission and for the purpose described at the time of connection.

We use the information we collect to:

• Create and maintain your account.
• Match you with relevant job listings and application opportunities.
• Prepare, review, and help submit application materials at your direction.
• Track application status, confirmations, and replies you authorize us to process.
• Improve product quality, reliability, and safety.
• Respond to support requests and communicate about the service.
• Detect abuse, fraud, and security incidents.
• Comply with legal obligations.

Kardein is designed to use your profile and uploaded materials as the source of truth. We do not intend to invent employment history or credentials on your behalf.

Some Kardein features may use automated systems, including AI models, to summarize job descriptions, rank roles, draft application answers, or complete repetitive form fields. These systems operate on the data you provide and are intended to assist you—not replace your review.

Where review gates or approvals exist, submissions should not proceed without your control. You remain responsible for reviewing application content before it is sent to employers.

If you install and connect the Kardein Chrome extension, it receives access only to supported application pages and the Kardein API. On Ashby application pages, the extension sends the page's job URL to Kardein to find a prepared application. It does not send unrelated browsing history, screenshots, page HTML, or values you type yourself.

After you explicitly authorize a fill, Kardein provides the extension with the prepared answers and documents for that application. The extension may place that data into form fields and preserves existing field values by default. Documents are transferred using short-lived, one-time links and are kept in extension memory only while needed. The extension never clicks the employer's final Submit button.

We retain a limited fill-session record for safety and application history: application and installation identifiers, field keys, result codes, counts, safe failure reasons, and your submitted or not-submitted confirmation. We do not store the live values or page HTML as extension telemetry. Authentication tokens are scoped to the extension installation and can be revoked by disconnecting it.

We do not sell your personal information. We may share information in these cases:

• Service providers that help us operate Kardein, such as hosting, authentication, database, analytics, email, and AI infrastructure providers. These providers may process data only to perform services for us.
• Employers and application platforms when you direct us to submit an application or otherwise choose to share materials with a third party.
• Legal and safety reasons if we believe disclosure is required by law, to protect rights and safety, or to investigate misuse of the service.
• Business transfers in connection with a merger, acquisition, financing, or sale of assets, subject to appropriate confidentiality protections.

We retain personal information for as long as your account is active or as needed to provide the service, comply with legal obligations, resolve disputes, and enforce our agreements. You may request deletion of your account and associated data, subject to limits required for legal, security, or backup purposes.

We use reasonable administrative, technical, and organizational measures designed to protect personal information. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Depending on where you live, you may have rights to:

• Access, correct, or delete personal information we hold about you.
• Export certain account data.
• Withdraw consent where processing is based on consent.
• Object to or restrict certain processing.

We use cookies and similar technologies to keep you signed in, remember preferences, and understand how the service is used. You can control cookies through your browser settings, but some features may not work properly if cookies are disabled.

Kardein is not intended for individuals under 16 years of age, and we do not knowingly collect personal information from children.

If you access Kardein from outside the United States, your information may be processed in the United States or other countries where we or our service providers operate. Those locations may have different data protection laws than your home country.

We may update this Privacy Policy from time to time. When we do, we will revise the “Last updated” date above. Material changes may also be communicated through the product or by email where appropriate.
